Using Passbox

Items and vaults

Logins, passkeys, 2FA codes, notes, cards and documents: create, find and organize them.

Everything you store in Passbox is an item. Items live in vaults. Your personal vault belongs to you alone. Shared vaults belong to a family or an organization, see Sharing.

Create an item

  1. Choose New (the round plus in the apps) and the kind of item.
  2. Fill in the fields. For a new password, open the password generator right in the field.
  3. Choose the vault. New items go to your personal vault by default. For shared vaults you see who will be able to see the item.
  4. Save.

If you save a login for a website and username that already exist, Passbox asks whether to update the existing item.

Custom fields: Every item can have extra fields: text, hidden text, website, email address or 2FA code. Passbox shows hidden fields only when you click.

Notes, tags and favorites: Notes go below each item. Tags group items across vaults. Favorites appear at the top and in their own list.

2FA codes

Many websites offer two-factor sign-in with an authenticator app. Passbox can create these codes itself. You then have password and code in one place and need no second app.

  1. Turn on two-factor sign-in on the website. The website shows a QR code.
  2. Open the login in Passbox and add the field Two-factor code (2FA).
  3. Read the QR code: in the apps with the camera, in the web app from an image or a screenshot. Or paste the setup key the website shows under "enter key manually".
  4. Enter the first code on the website to finish.

Passbox shows the current code with a countdown. When filling in with the browser extension and on Android, Passbox enters or copies it for the next step.

Passkeys

A passkey replaces the password with a key that only your vault holds. Passbox stores passkeys in the website's login. You create and use them with the browser extension. The apps for iPhone, iPad and Android do not use passkeys yet, but keep them unchanged.

File attachments

In the web app and the desktop app you attach files to any item: with Add file or by dragging them in. Passbox encrypts the file on your device before it is uploaded. Images and PDFs get a preview. The server decides how large a file may be.

Search and organize

  • Search: Search forgives typos. "salesfroce" finds Salesforce. In the web app and the desktop app you reach it from anywhere with Ctrl+K (Mac: ⌘+K).
  • Filters: Categories, favorites, vaults and tags in the sidebar narrow the list.
  • Select several: With Select entries you move, archive, favorite or delete several items at once.
  • Archive: Archived items are kept but do not appear in lists, search or autofill. Good for old accounts you want to keep.

History and previous passwords

When you change a password, Passbox keeps the old one under Previous passwords. From there you can copy or restore it.

Passbox also keeps the last 20 versions of every item. The history shows what changed when, and you can restore an older version. A restore is a new version too and can be undone.

Trash

Move to trash does not ask first but offers Undo for ten seconds. In the trash you restore items or delete them for good. After 30 days Passbox deletes them automatically.

Move to another vault

With Move to another vault… you move one or more items, for example from your personal vault into the family vault. Before that, Passbox shows who gains access and who loses it. History and attachments move along.

Anyone who loses access may already have seen the item. Change important passwords in that case.

Website icons

Passbox shows the website's icon next to logins. The icons of about 3,500 well-known websites come with the apps. Your device loads others through your Passbox server, never directly from the website. Turn icons off under Settings → Language and appearance → Show website icons. Passbox then shows initials.
